Bread and honey festival discussed opinion was that it was not as good as it should have been

T shirts were discussed and art work would be a license issue

Tim sat at the front and outlined his meeting plans set real objectives and aim for them, additional structure, participation, of all members are to follow our plans so we can measure our success. Meetings will start at 0700 - 0800 sharp and will be adhered to some formalities will be handled prior to the meeting.

Michelle discussed golf tournament raised $1300 Dale suggested the rotary club should make a bit of a responsibility.

Possibly discuss a team for cycling the niagara run

Suggested to participate in youth exchange

Figure out how to make a shortlist of sponsor ship ideas how to handle their aspects. People that suggested ideas would take responsibility for their task.

Classification speeches to be scheduled. It was raised to ask Phil have a exit speech. On the 30th of June

Tim will be absent for the next 2 meetings.

J. Bryce reminded members to get police checks if interested in participating in Breakfast Club. Meadowvale SS will not allow us into the school without completed checks and process takes up to 6 weeks.

S. Brown mentioned he has 7 people interested in Poker event. Members are urged to start promotion though awaiting tickets / rules.

J. Bryce suggested holding weekly food drives in light of low stocks at food banks. As of next week, the club will have a box at our meetings. Members are encouraged to bring non-perishable food items.

Raffle: Dale advised that permit required. Cost is 3% of prizes. Given prize budget of $1,000, permit cost is $30. Club instructed Dale to proceed with securing permit. Discussion regarding ticket costs results in agreement that cost should be $5 or 3 for $10. Dale suggested seeking community partnerships to aid in selling tickets (ie. Girl Guides, Scouts, teams).

Night of $1,000 Dinners: Discussed desired benefactor. Club agreed to support local charities. Cost to be $50 per couple. Event to be renamed. Dale suggested that we sponsor 2 dinners in the Rotary year, first to be held on November 30th.

Community Projects:

Dictionary presentation confirmed for September 27th at 11am @ Trelawny.

M. Nadler provided overview of meeting with Raj Chopra. Presidents of CVAM, Meadowvale, Streetsville and Airport to meet regularly to coordinate activities. Another joint meeting of all Mississauga clubs planned for the Fall. R. Chopra to assist in getting ordering details for Paul Harris Fellowship.

Michael Metcalfe, Chief of Police for Peel Region to speak at our meeting on September 20, 2007. All members are to send out invites to at least 10 prospective Rotarians / guests. Number of guests to be confirmed the week before event.

Poker: D. Scheerer / S. Brown outlined plans. 4 preliminary events to be held at Patti's on November 2, 2007, February 1, 2008, May 2, 2008, September 5, 2008. Final event to be held November 7, 2008. Tickets will cost $75 for preliminary rounds, $100 for finals. First and second place finishers in preliminaries will get free ticket to Finals. Others may buy into finals. Assuming 64 attendees at prelimaries and 128 during finals, anticipated profit is $22,160. Patti's to charge $10 / head for dinner. Patti's will run bar and will retain profits from bar sales. Club would need to provide 8 dealers.

Raffle: D. Scheerer proposed final draw on December 15 2007 for TV with early bird draws on October 15, 2007 and November 15, 2007 for IPODS. Tickets to cost $5 each or 3 for $10. Assuming sales of $2,500 and prize budget of $1,500 anticipated profit is $1,000. Presents opportunity to promote club on ticket copy. D. Scheerer will investigate licensing requirements.

Discussion ensued re fundraising plan. 3 primary fundraisers identified: Bowlathon, Poker and Raffle. Opportunity for smaller events to supplement primary fundraisers through such things as running a beer tent at Bread & Honey, "Beef on a bun", chip truck, duck race, etc.. All events should clearly identify a benefactor.

Dale suggested partnerships could be enhanced through support of Meadowvale's food drive to support Eden Food Bank. M. Nadler and D. Scheerer will sit in on Meadowvale and Streetsville clubs to further foster a relationship.

J. Joseph was awarded a certificate of appreciation recognizing his contribution over the 2006-7 term as outgoing President. A donation in the amount of $300 has been made, in his name, to Rotary Foundation.

M. Nadler presented his outlook for the coming year. Emphasis will be on membership growth, with an objective of 5 new members over the coming year. All members are encouraged to bring visitors on a regular basis. Tent cards are available from Allegra to facilitate the invitation process. J. Bryce has accepted the position of Membership Chair. John will make a brief presentation next week outlining his ideas / strategies. It is hoped that J. Kitchen will continue in his role as Mentor.

Another emphasis will be on developing partnerships with Streetsville and Meadowvale clubs to develop joint membership and fundraising initiatives. M. Nadler will attend upcoming meetings to foster a relationship with these clubs. It is also suggested that we should conduct regular / reciprocal joint meetings.

Fellowship is another priority. It is hoped that we will have quarterly fellowship events. S. Brown and J. Diggle will work on a trip to the Buffalo area to watch a Sabres game.

Fundraising an obvious priority. Emphasis should be on smaller events throughout the year that maximize ROI.

Wendell updated club on finances. There is about $1,600 in general account. $2,500 in event account. Meadowvale still has not paid for their Surf & Turf ticket sales.

Lobster Tickets Update

I heard from Fred Chorley that they have sold 20 tickets and perhaps more as Tom McKay has not reported in yet. I have contacted the Coleman's who have been excellent past supporters and Jan will get back to me as to whether they will be in town or away. My sales at Re/Max are 13 so far. What are we doing about door prizes? Do we have enough money in the kitty to go out and get some, ie. Future Shop?

I have spoken today with Gary Martin of the Peel Police and let him know that a) we will be donating two tickets to their Golf Day as an auction item, (good publicity to the right crowd), and b) that I have commited to two tickets for that event. I also spoke to Fred Chorley this morning and he is getting back to me with an update as to how ticket sales are going. Has anyone checked in with Meadowvale on this?

John updated database. Will make 100 calls to promote Surf & Turf event by next Thursday. John noted Surf & Turf PDF available @ website to distribute. George has made calls. One person called suggested event should close later.

Club discussed merits of supporting WWF climb at CN Tower. John moved that we donate $250. Seconded by Steve Brown. Motion carries.

George distributed emailable flyer re Surf & Turf. Encouraged Rotarians to "make the calls".

Bill introduced Wendie Gibbons, a drama teacher @ Meadowvale Secondary School. Discussed breakfast program. Held twice weekly (Tuesday / Thursday) at Meadowvale SS. About 100 students participate. Program funded through grants / fundraising. About 50 staff volunteering. Food costs $40 -$70 weekly. Help needed with clean up. Volunteers welcome. Bill will coordinate.

Wendie referred to Maureen Darling, business teacher as contact for Camp Enterprise.

Justin reminded members to show him police checks.

PETS - Day Two

This morning's sessions dealt with a number of practical issues involving the running of meetings, with a couple of break out sessions. DG emphasized importance of Rotarians getting involved in international projects.

Youth Exchange

All host families must now complete an application. All hosts over age 18 must also complete police checks.

Mentoring / New Member Orientation

Importance of communicating to prospective members what Rotary is all about and what the expectaions and obligations of membership are. As a club we should formalize our orientation and mentoring process. May not be a bad idea for us to purchase info kits from RI that we can distribute to guests / prospective members. The information that we now have is dated and voluminous. As well, we should look at new member kits, also available from RI, that may be given to new members upon induction. It also struck me that we should formalize the mentoring process. I very much appreciated the fireside chat that I had with Jim K. shortly after my induction. However, mentoring should not end there. There should be an on-going mentoring process to ensure that we all are comfortable and understand the very many aspects of Rotary.

Conflict Resolution

We must all recognize the supremacy of the "4 Way Test" in all our dealings both in and outside of the club. Communication is key. Importance of listening. Communication best face to face. Avoid email. Deal with any potential conflicts as they arise ... avoid escalation. Importance of clarity in our communications and keeping to strategic plan.

Some of the above may be "letting the cat out of the bag" prior to the transition. However, I wanted to capture some of these ideas while they were fresh in my mind.

PETS - Day One - North Bay

Covered alot of ground today. Session opened up with a challenge....defining the upcoming Rotary year. What kind of year would I like, accomplishments, goals? The coming months will see me defining and refining the club's objectives. DG-Elect Bert Godin (District 7010) suggested putting the "i" in TEAM. As members, you will and should all have a role in setting our future course. In the weeks ahead I call on you to let me know how you would like YOUR club to take shape. Are there charitable causes that you would like to see us contribute to and / or events that you would like us to be involved with? What do you like about the club? What do you not like? How can we be better? How can our club make a difference in our community? This blog is an excellent venue for the sharing of your ideas.

Rotary Shares

A video of incoming RI President Wilf Wilkinson was played. In it he revealed the RI slogan for 2007-8, "Rotary Shares". It is a reminder of the mantra "service above self". It is also a call to spread the word about all the good that Rotary does in our community and around the globe. Further, it is a challenge to expose others to Rotary so that we may grow our clubs and continue to do the very valuable work that we do. Growth should also reflect the diversity of our community. This struck me as particularly important for our club. We are wonderful at coming up with ideas and running events. Where we lack is in the manpower to market our endeavours. We must continue to invite guests to our meetings and should create some process for promoting ourselves in the business community, especially the Argentia Business Park..our neighbours. Partnering with other clubs and charitable causes will also become increasingly more important. Members are also encouraged to learn more about Rotary by attending District Conference, attending other events and by exploring the many resources available to us such as the RI website.

Priorities

Planning, engaging members (engage / involve/ educate), leaving a legacy (ie. a long term plan / continuity), growth were all identified as being important. With respect to planning we were also encouraged to set goals that could be quantified and evaluated afterwards to ensure that our various projects "are working" and are meeting the communities needs. Further, it was suggested that we complete a needs analysis of our community's needs by engaging other local stakeholders.

Service Projects

Global priorities are in the areas of water, hunger / health, literacy, numeracy and Polio Plus. "Every Rotarian Every Year" encouraged. We should lead by example as a club and individuals. We should make RI our charity of choice.

There is much to be done in preparation for July and many valuable ideas were shared in a number of break out sessions. Some of these will be shared with you in July.

Tomorrow, promises to offer another full day of programming. In the meantime, I am looking forward to a fellowship dinner this evening with the Rotarians of District 7010. To date, they have been extremely warm and welcoming!!! I have made many wonderful contacts. Almost enough to make you want to move north........NOT!

Max # of tickets for Surf & Turf

I believe there needs be a correction to the earlier post regarding the maximum number of people that will fit in the venue. I think it was said that 325 people (not 225) is the max so we don't want to sell any more than 325 tickets of the 400 tickets that are currently in circulation.

It was also mentioned at this morning's meeting that we need to get on the phones calling people from previous years. John said that he was calling through a list that he had, but it was unclear (at least to me) if there are other lists of people to call still. If there are, we need to get those names and numbers distributed quickly so we can start making calls. Perhaps Dale has that list compiled from the info on the cards that some of us inputed into excel files and sent to him.

Jim Kitchen updated club on discussions with Peel Victims Services. They are excited about working with us on Surf & Turf Fest. Peel Police will discuss with all divisions with the goal being to promote our event / sell tickets. Jim suggested club would take 15% of revenue to cover overhead, balance of revenue to be split between benefactors. Victim Services can issue tax receipts. George will forward brochures to Fred Chorley to aid with marketing.

Club feels maximum capacity for Surf / Turf is about 225 patrons. Club gave ok to Steve to proceed with making arrangements with Black Tie Entertainment (DJ). George reminded everybody that we only have 5 more weeks to sell tickets.

Bill introduced Robin Gofton of Region of Peel, Public Health. Robin discussed bullying in schools.

John's number called for 50 / 50. Drew a white ball.
